Administrative Assistant/Receptionist

Responsibilities:
Telephone Activity:
•Answer phones and check main company Voice Mail Box daily
•Forward messages left on general voice mail to office personnel
•Call Vendors on purchase orders, estimated ship dates and freight charges
Collections:
•Call customers for past due invoices (over 30 days)
•Inform management of any problem collecting funds
•Enter payments on invoices, make copies of checks and mail the deposit
Administrative Activity:
Commissions:
•Make copies of commissioned invoices for the month
•File commission copies in sales reps file and original order in customer file
General Office Help:
•Distribute any incoming faxes
•Make copies
•Order office supplies
•Order catalogue literature & track usage
•Help office personnel when needed
•Accounts payable filing
•Check in deliveries in the warehouse
•Run totals for sales tax purpose
•Add paper to fax & copy machine
Orders:
•Type and fax quotes for sales reps.
•Take any phone/ fax orders and fax it to the reps for write-ups
Requirements:
-Verbal and written skills
-Customer service experience
-Knowledge of Microsoft Office (Excel, Word, and Outlook)
-Must be available to work Monday thru Friday 8:00 am to 5:00 pm
